Procedure for Receiving a New Scout into the Troop

  1. The Membership Committee in conjunction with the Membership Chair should distribute the appropriate paperwork to the new Scout and his parent/guardian. This includes: 1) Scout Personal Data form; 2) Boy Scout Application; 3) Code of Conduct; and 4) Class 1 & Class 2 health forms.
  2. Membership should start a checklist for each new Scout so that they track when all of the necessary forms etc. have been turned in. It is the responsibility of Membership to ensure all the necessary paperwork is turned in for all new Scouts. They should also create the Master Records folder.
  3. Membership should notify the Scoutmaster to place the Scout into a patrol.
  4. At the next regular meeting, Membership should collect from the Scout and his parent/guardian the following items: 1) Application with $35 fee; 2) Signed Code of Conduct; 3) Scout Personal Data Form; and Class 1 health form. It is Membership’s responsibility to ensure the forms are COMPLETELY filled out!
  5. Membership should pass application fee to Treasurer.
  6. Membership should pass Class 1 health form and Scout Personal Data form to Health and Safety Chair.
  7. Membership should send a copy of the Boy Scout Application with the $10 fee to Council. The other copy must remain with the Troop. Membership should also maintain a book containing all the signed Code of Conduct pages.
  8. The Health and Safety Chair should add the new Scout to TroopMaster and notify the Advancement Chair that the Scout has been entered.
  9. The Health and Safety Chair should add the new Scout’s forms into the Troop records.
  10. The Advancement Chair should set up the advancement records for the new Scout and notify the Advancement Committee members for this Scout’s rank group.
  11. The Advancement Committee members for the new Scouts rank group should set up the appropriate files/records for the new Scout, meet the new Scout, and explain to him the Advancement process.
  12. When the Class 2 form is collected by Membership it will be passed to the Health and Safety Chair.
  13. When the last item is checked off the checklist should be added to the Troop Master records.
